The Recruiting Coordinator will support and conduct specialized tasks for the Talent Acquisition team. Working in a fast paced environment this integral partner will perform activities and build candidate relationships, often providing the first impression of Amtrak. This necessitates being an organizational guru to accomplish candidate outreach, assisting Recruiters, scheduling and authorizing assessments, interview scheduling including extensive and complex arrangements involving travel itineraries, sourcing, securing background checks, medical screenings, and references as requested. Working effectively with internal and external clients, this position will help build a great organization of talented individuals while performing all duties and responsibilities in compliance with standard operating procedures, Code of Federal Regulations (CFR), Occupational Safety and Health Administration (OSHA) and other applicable Federal, state and local regulations.

  • Correspond with applicants and candidates as appropriate to apprise them of their status
  • Fully utilize available systems to process candidates by entering, tracking, and updating status adhering to processes and requirements
  • Conduct on boarding/new hire orientation
  • Ensure personnel records are reviewed prior to interviews for suitability
  • Assist recruiters in sourcing and pre-screening candidates
  • Coordinate and schedule Interviews
  • Be available to assist on day of interview (meet and greet candidates, prepare interview packets, escort candidate to rooms, etc.)
  • Attend events to represent Amtrak with or on behalf of recruiters and generate awareness of employment opportunities.
  • Assist in the outreach of targeting diverse groups for the purpose of building a diverse workforce including, veterans, female, disabled, campus, etc.
  • Ensure compliance, i.e. collect I-9 documents, maintain applicant flow log, update Applicant Tracking System, reqs are closed out timely, etc.
  • Organize logistics for candidates and stakeholders for the purposes of interviews with hiring managers and candidates utilizing MS Outlook
  • Route resumes, interview guides, job descriptions, interview feedback forms/notes and essential documentation to ensure a complete job file
  • Provide exemplary customer service to internal and external clients facilitating a positive candidate experience as priority number one
  • Maintain and track job and candidate data for compliance to EEO and other related employment laws and regulations
  • Participates in community outreach events to enhance employment opportunity awareness
  • Process invoices and expenses through Amtrak portal, for recruitment services and vendors
  • Creates job folders and submits closed files to the Employee Service Center in a timely fashion
  • Works with external job boards, internal partners and external sources for applicant engagement
  • Provides administrative support in setting up job fairs, organizing booth, materials and logistics for exhibition
  • Creates offer/rejection letters under supervision of recruiter and management
  • Communicate with Employee Service Center confirming new hires
  • Assist recruiters with dispositioning candidates in RMS
  • Help the manager of TA with data/reporting needs
  • Schedule, facilitate, grade approved testing based on specific job requirements or contractual obligations


  • Knowledge of federal, state and local laws affecting human resource issues pertaining to recruitment
  • Strong organizational skills with a proven ability to independently prioritize work
  • Experience using applicant tracking systems
  • Advanced understanding of EEO/AA/OFCCP guidelines, and regulatory requirements in the recruitment function
  • Demonstrated resourcefulness, anticipating needs, and taking initiative
  • High attention to detail and follow up skills
  • Ability to handle highly confidential material on a continuous basis in a professional manner
  • Consistently provide stellar customer service with a problem solving demeanor
  • Strong proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel), and basic knowledge of office equipment

Associate's Degree
Must have excellent oral and written communication skills.
