The Associate Legal Support Specialist provides records and document management support to the paralegals and attorneys in the Law Department; interprets documents, performs data entry and quality assurance, and works directly with paralegals and attorneys to gather documents for active cases.  The incumbent will also provide support to the Chief Ethics Officer, Corporate Secretary’s office, and the Records and Information Management function.

1.    Assist in the maintenance of the current Law Department case management database
2.    Assist paralegals and attorneys in preparing cases for trial, including scanning documents/files for outside counsel, assembling and organizing exhibits, documents and case files
3.    Prepare and distribute legal hold preservation memoranda to employees, following protocols to ensure preservation of hard copy and electronic evidence
4.    Assists Chief Ethics Officer carrying out research and background for certificate of compliance reviews and ethics requests
5.    Review incoming Records Destruction requests for any legal hold and provide approval/non-approval to departments.
6.    Assists with the preparation of Board Member compensation and expense reimbursement documents
7.    Prepare closed cases for off-site storage; and process, organize and retrieve off-site files as needed
8.    Process and record all incoming mail deliveries for the Law Department
9.    Maintain office library resources and book collection
10.    Responsible for uploading scanned case materials in appropriate folders 
11.    File hard copy contract documents and supporting material per office policy
12.    Respond in a thorough and timely manner to subpoenas and other requests for information
13.    Conduct electronic data searches
14.    Other special projects and legal support duties as assigned.

The successful candidate for this position must have:
•    Bachelor’s Degree
•    Minimum of 3 – 5 years’ experience in a related field, preferably legal support experience in a large law firm or corporate legal department
•    Experience with electronic document management systems
•    Manage a heavy workload and maintain attention to detail.     
•    Strong interpersonal and verbal communications skills.   
•    Organize and analyze large volumes of information and documents. 
•    Work under pressure and meet constant deadlines. 
•    Work with a variety of personalities in a strong team environment. 
•    Conduct thorough and efficient record searches. 
•    Maintain confidentiality of sensitive information. 
•    Coordinate multiple cases and projects and adapt to changing priorities

•    5+ year litigation experience in a large law firm or corporate legal department
•    Experience working with railroads or other industrial environments with extensive personnel policies, labor agreements and discipline processes.
