SUMMARY OF DUTIES:
The Project Support Coordinator works under close supervision of the Project management, and is 
 responsible for supporting the project managers, business analysts, or functional area leadership by coordinating project administration, reviewing, revising and maintaining critical documents required to support assigned projects. Individuals in this role use basic knowledge to support the functional aspects of the assigned team or department, including overall project and team administration, tracking of internal resources and expenses, process support and training, project budget management, report analysis, and project plan development and reviews. 

 

ESSENTIAL FUNCTIONS:

•    Create and maintain required documentation including SharePoint sites, organization charts, distribution lists, meeting minutes, project logs, project schedules, requirements documents, project budgets, and status reports
•    Create and maintain a version control system that manages access to project documentation, not only electronically, but for paper documents that must have restricted distribution
•    Provide logistics related to project management support including scheduling meetings, negotiating meeting space, room set up, meeting materials preparation and distribution, and catering as well as arranging for and testing all meeting technology such as phones, video teleconferencing, microphones or projection
•    Work and update tasks provided by functional area experts, existing documents and project plans, notes, and general communications to prepare and maintain an overall project plan using the selected project management tools 
•    Work with functional area experts and the project manager to develop concise, complete, accurate, and clear specifications of project deliverables for the overall project and subprojects
•    Review, edit, and revise appropriate documents produced by others in support of projects 
•    Reproduce, bind, and distribute project documents
•    Act as liaison between project team and assigned functional area for project-related communications and tasks; coordinates status reporting, monitor’s deliverable execution, etc
•    Perform additional administrative functions, to include but not limited to, travel, expense reports, delegating calendars, etc.
•    Develop and maintain required project management artifacts in accordance with Amtrak Project Management standards and applicable regulations

 

WORK EXPERIENCE:
•    Ability to coordinate with individuals in other departments to complete work tasks
•    Microsoft Office (Word, Excel, Visio, PowerPoint, MS Project, SharePoint) 


PREFERRED EDUCATION:
•    Associate Degree

 

PREFERRED WORK EXPERIENCE:
•    Previous experience working in administrative support function


COMMUNICATION AND INTERPERSONAL SKILLS:

•    Solid communication skills with ability to covey information to others
