SUMMARY OF DUTIES:The System Safety Programs Specialist is responsible for: developing content and maintaining Amtrak's safety website on the Salesforce-based intranet; developing processes in support of Amtrak's Safety Management System (SMS) and enhancing implementation by customizing solutions in Microsoft Office 365 (SharePoint, Flow, Forms, PowerAps, etc.); monitoring and coordinating responses to messages received over Amtrak's safety email and hotlines; as well as ensuring that key records are managed in accordance with the company's Records Information Management (RIM) program.

 

ESSENTIAL FUNCTIONS:

  • Ensure Amtrak's Safety intranet is regularly updated with the latest information on the company's Safety, Health, and Environmental (SH&E) programs.
  • Monitor Amtrak safety email and hotlines daily and coordinate messages to ensure timely responses to employees.
  • Review and overhaul existing Amtrak safety processes to align with a flowchart-based template and develop technological solutions using Office 365 applications to enhance capabilities that enable implementation.
  • Design, develop, maintain and support the System Safety SharePoint site, data, forms, workflows, reports/metrics and related business processes.
  • Facilitate implementation of processes by scheduling and hosting meetings, managing updates, and engaging employees for inputs, and distributing regular updates.  
  • Work with the Amtrak RIM Office to manage an efficient Document Control Management System in compliance with ISO 9001 or 15489 Records Management (or equivalent) requirements.
  • Archive SMS records in a manner that enables traceability and retrievability of safety critical information related to investigations and assessments.

 

MINIMUM QUALIFICATIONS:

  • Bachelor's Degree and relevant experience may be considered in lieu of a degree
  • Demonstrated experience with process or workflow improvement
  • Competency with Microsoft Office 365 applications, specifically SharePoint, Flow, and Forms
  • 1 or more years of relevant experience (5 or more years of relevant experience in lieu of a degree).
  • Demonstrated experience with developing, implementing, and enhancing processes
  • Ability to work under time constraints to meet deadlines
  • Excellent written, organizational, and oral communication skills.
  • Self-motivated and able to work independently


PREFERRED QUALIFICATIONS:
Background in Industrial Engineering, Six Sigma, Value Stream Mapping, Salesforce, Microsoft Office Programs to include SharePoint, PowerAps, and Visio  

 

COMMUNICATION AND INTERPERSONAL SKILLS:
Must have excellent oral and written communication skills

Frequent use of computer systems in an office environment

Conducts in person and/or telephone dialogues as appropriate in order to manage and conduct the flow of work.

Frequently handles multiple projects simultaneously.
